hidma bills list showing each bill sent to Xero with its Xero invoice number and status

hidma is a time tracking and billing platform for accounting, legal, advisory and architecture firms. Xero is where the firm’s books live. The integration joins the two, so the hours your team logs become an invoice in hidma and a matching invoice in Xero, without anyone retyping it.

What the Xero integration does

Invoices go to Xero in one click

When a bill is approved in hidma it is pushed to Xero as an invoice, with the right contact, tax rate, account code and invoice template already applied. Every push is recorded, so you can always see what went to Xero and when.

Payments and changes come back

The sync works both ways. When an invoice is paid, part-paid, changed or voided in Xero, hidma picks it up automatically, so your work in progress and outstanding-bills reports stay right without anyone checking by hand.

Clients and contacts stay in step

Each hidma client is linked to a Xero contact. Update a client’s details in hidma and the contact in Xero follows, so you never end up with two versions of the same client.

Checks before anything reaches Xero

Built-in checks catch problems first: a missing tax rate, a client not yet linked, an account code that does not exist. A bill is not sent until it will post cleanly.

A daily digest

Each day hidma sends a short summary of invoice status across Xero: what was sent, what was paid and what still needs attention.

One Xero organisation per company

Firms with more than one legal entity run each one in hidma with its own invoice details and its own Xero organisation. Time is tracked once; invoices go to the right set of books. See multiple legal entities on one platform.

How the connection works

You connect hidma to Xero from your settings, signing in with your Xero login and choosing the organisation. hidma uses Xero’s standard secure sign-in and never sees your Xero password. You can disconnect at any time, from hidma or from Xero. We set the integration up with you as part of onboarding, including matching your tax rates and account codes.

Who it is for

hidma and Xero Practice Manager

Xero Practice Manager is Xero’s own practice tool for accounting partners. hidma works alongside Xero with a sharper focus on the time-to-invoice side: quick time entry, approval, rates, WIP and budgets. If you are weighing the two, read hidma vs Xero Practice Manager.

Frequently asked questions

Do I need a particular Xero plan?

The integration works with the standard Xero business plans. If you are not sure about yours, ask us and we will check.

Can I use hidma without Xero?

Yes. hidma raises invoices and records payments on its own. Xero is optional, and you can connect it later if you move your books there.

What happens if I edit an invoice in Xero?

The change syncs back to hidma, and the bill’s status and amounts update to match. If an invoice is voided in Xero, hidma shows that too.

Is my data safe?

hidma is hosted in the EU and the connection to Xero uses Xero’s own secure sign-in. Nothing is shared with Xero beyond what is needed to create and read invoices and contacts. More on our security page.

How long does set-up take?

Connecting takes a few minutes. Matching your tax rates, account codes and existing contacts is done with you during onboarding, usually in one session.
