Billing shouldn't be guesswork

Professional services firms lose thousands in revenue every month to billing inaccuracies. Hours get forgotten. Rates get miscalculated. Premium work gets billed at standard rates. Clients question unclear invoices, delaying payment. You need billing that’s as precise as your service delivery.

Experience

in action

Intelligent rate management

Rates that apply automatically – every time

No more manually looking up who bills at what rate. hidma’s sophisticated rate hierarchy automatically applies the right rate based on who did the work, which project it’s for and what type of work was performed.

Key features

Set it once, bill correctly forever. Partners bill at partner rates. Client agreements are honored automatically. No rate lookup. No errors

Selective billing control

Bill exactly what you want – nothing more, nothing less

Client has a budget cap? Need to exclude certain team members? Some hours non-billable? hidma’s billing functionality gives you surgical precision over what goes on each invoice.

Key features

Stay within client budgets. Honour fee caps. Bill appropriately while maintaining accurate records of all work performed.

Beyond time – complete billing flexibility

Time + materials. Fixed fees. Expenses. All in one invoice

Not everything fits the hourly model. Add fixed fees, recurring charges, one-time expenses and apply discounts – all on the same professional invoice.

Key features

Invoice the way you actually work. Fixed retainer + hourly extras + expenses – all calculated correctly, presented clearly.

Legal-ready billing workflows

Request for payment before invoicing – built for legal practice

Many legal firms prefer to request payment before issuing formal invoices. hidma supports this two-step workflow natively, generating Requests for Payment (Pro-forma invoices) that become official invoices only after payment is received. Your Xero integration respects this workflow, syncing only official invoices to your accounting system.

Key features

Get paid first, invoice second. Reduce risk of unpaid invoices while maintaining full compliance with legal billing standards. Your accounting records stay clean with only official invoices.

Seamless accounting integration

From hidma to Xero – no double entry, RFP-aware

Your billing doesn’t stop at invoice creation. hidma’s two-way Xero integration eliminates duplicate data entry, keeps accounting records current and closes the loop from time tracking through payment. Most importantly, it understands your RFP workflow – invoices only sync to Xero after payment is received, not when RFPs are issued.

Key features

Track time in hidma. File taxes in Xero. One source of truth, zero duplicate work. Your accounting system only sees official invoices, never preliminary RFPs.

MONITORING & INSIGHTS

Track what matters: WIP, realisation and outstanding balances

Billing precision isn’t just about accuracy – it’s about visibility. Monitor unbilled work (WIP), track which invoices are outstanding and understand true project profitability.

Key features

Know exactly where you stand. Completed work not yet billed. Invoices awaiting payment. Revenue at risk.

What our clients say

Yes. A new bill starts as a Draft, and you can change anything on it: rows, amounts, descriptions or hours. After it’s sent, you can still change the time or charges on any row, even once it’s paid. For bigger corrections, raise a credit note. Every bill keeps a change history showing who changed what, and when.

1. A rate set on the project

2. A rate set for the client

3. A rate set for the job (the type of work)

4. A rate set on their team

5. Your firm’s default rate

Yes. You can add any of a client’s projects to one bill, and tag each row to the project it belongs to. You can also merge work from several projects into one line, or split one line across several projects. Each project still gets its share of the revenue in reports.

While the bill is still pending, just edit it. If it’s already been sent, raise a credit note. hidma can then put the credited hours back into unbilled time, so you can bill them correctly and they won’t be billed twice.

Yes. Add the fee as a line on the bill, plus any expenses or extras. You can then link the hours actually worked to that fee. The client’s invoice stays the same, but you can see whether the job made money.

You match each hidma tax rate to a Xero tax code once, and most match automatically. After that, invoices arrive in Xero with the right tax codes. If a tax rate, client or template isn’t matched yet, hidma tells you before sending the bill and lets you fix it on the spot. It doesn’t just fail.

Yes. You choose whether rows show the person’s name, the date, time entry comments and hours. You can also group entries into one summary line or show the full breakdown, and change this for each client or bill.

There are two:

  – Standard: you send an invoice and the client pays it.

  – Request for Payment (RFP): you send a pro forma request first, and hidma creates the official invoice once it’s paid. This is common in legal firms.

  – Cash Accounting (coming soon): An adaptation of the RFP flow which fully integrates with XERO
