Stop tracking VAT returns, annual returns and filing dates in spreadsheets. hidma puts every deadline next to the time, budgets and bills for the same work, so your team sees what is due and who is handling it.
Two months free. No credit card. We set up your clients and deadlines with you.
Most deadlines repeat. Set a VAT return to recur every quarter or an annual return every year, choose the clients it applies to, and hidma creates the whole series in one go.
A deadline can belong to a client, a project, a team, a single person or the whole firm. Filing dates, month-end close and partner reviews all sit in the same list.
Switch between a list and a calendar, filter by scope, team or date, and watch open, overdue and due-this-week counts on the team dashboard.
Every client brings the same set of filings, each on its own date. Annual returns, accounts, tax returns, VAT and payroll forms add up to hundreds of dated obligations a year for even a small firm. Most firms keep them in a spreadsheet, a shared calendar or in the heads of two senior people. That works until someone is on leave in the second week of November. A missed filing means a penalty for the client, rushed work for your team and fees you end up writing off. Deadlines belong next to the time, budgets and bills for the same work, not in a separate file.
Give a deadline a label, a start date and a pattern, and hidma creates every occurrence in the series. Repeat weekly, monthly or yearly, on a day of the month, the first or last day, or a weekday. End never, on a date, or after a set number of occurrences.
VAT return, every three months, for 60 clients. One form, 240 deadlines a year, each tracked on its own.
A deadline does not have to belong to a client. Set one on a project, a team, a single person or the whole firm, and see them all in the same list with their scope marked. Filter by scope when you only want one kind.
The audit team sees its own deadlines. A partner sees everything. Each deadline carries its team and its owner.
Work from a list when you are ticking things off, and from a calendar when you are planning the month. Each scope has its own colour, and you can search by name or narrow the list to a date range.
It is the first week of November. The calendar shows 56 deadlines on the 14th. You know now, not on the 13th.
The dashboard shows the counts that matter for your team, the firm or just you, for the week, month, quarter or year. Below the counts, the team deadlines list shows each item with its date and owner, so nothing is left unassigned.
Monday morning. 60 open, 0 overdue, 12 due this week, 4 with no owner. You know what to assign before the first coffee.
The next part of the deadlines release. Give hidma a client’s jurisdiction, the services you provide and the date the company was formed, and it generates the returns that are due and their dates, as a recurring series.
New client onboarded on Tuesday. Annual return, accounts, tax return, VAT and FS7 deadlines in place by Tuesday afternoon.
Chasing clients for documents is half the work of meeting a deadline. hidma will send a reminder email to the client two weeks before each deadline, from a template you can edit, so the chasing happens without anyone in your team remembering to do it.
VAT return due 15 November. Client reminded on 1 November, documents in by the 8th, return filed on the 12th.
After deadlines come workflows. Break the work behind a deadline into steps your team can follow, attach your standard procedures, and see at each stage who is doing what. This is a bigger piece of work and will follow the reminders release.
Annual accounts: request records, prepare, review, approve, file. Five steps, five owners, one deadline.
Annual returns on 60 different dates, quarterly VAT for all of them, and FS7s every February. Set up once as recurring series, filtered by team, checked each Monday on the dashboard.
Deadlines set on the matter itself, not just the client. Each fee earner sees their own; the managing partner sees the firm. Overdue items stand out before they become a problem.
Month-end close, management accounts, board packs and partner reviews as team and firm-wide deadlines, alongside the client work they depend on.
Because deadlines live in the same system as timesheets, budgets and invoices, you can see whether the return that is due on Friday has been started, how much time it has taken and whether it has been billed. A deadline in a spreadsheet tells you none of that.
One screen for the partner meeting: what is due, who has it, and what it is worth.
